Collect retirement memories without turning it into a second job.

One organizer, one link, one real deadline, and a small set of prompts are enough. The hard part is not the tool. It is making the request specific and easy to finish.

Set the shape before you invite anyone

Decide who owns the final edit, where responses go, when collection really closes, and how the retiree will receive it. Changing tools halfway through loses contributions.

  2. Set an internal deadlineTell contributors a date two days before you truly need the material.

Invite across the career, not only the current team

The surprising memories often come from a former direct report, a client, or a colleague from an earlier office. Ask the retiree's current manager for names if the history predates you.

Send one useful reminder

A reminder should reduce the task, not repeat the first message. Include a prompt and the exact closing time.

Review with a light hand

Remove private client details, insults, and stories the retiree would not want shared in that room. Preserve each writer's voice. If a message needs a factual correction, ask the contributor instead of silently rewriting it.

Make remote participation ordinary

Use an asynchronous link that works on a phone, state the deadline with a time zone, and reveal it at a meeting time the retiree can attend without rushing. Send the keepsake link afterward so they can read privately.

How far in advance should I start?
Three weeks is comfortable for a retirement. One week can work if the invitation is specific and the group already knows about the departure.
Do I need to ask everyone at the company?
No. Invite people with a distinct story or point of view. A smaller complete collection is easier to review and more personal.
