Organize the farewell around what the coworker will receive.

Pick the final handoff first, then work backward. A lunch, call, card, and gift are only useful when one person owns the deadline and the team knows exactly what to do.

If you have two weeks

You have enough time to include former teammates and make something people can revisit.

  1. Days 1-2Choose the organizer, format, budget, contributor list, and reveal time.
  2. Day 3Send one link with a specific prompt and a deadline on day 10.
  3. Day 8Send one reminder with a sample answer.
  4. Days 11-12Review contributions, finish the gift, and test any presentation.
  5. Final dayGive the farewell space before the last rushed hour.

If you have one week

Keep one artifact and one event. Skip anything that requires collecting files in several formats.

  1. Day 1Open the collection and send the invitation immediately.
  2. Day 4Remind only the people who have not answered.
  3. Day 6Close, review, and prepare the handoff.
  4. Day 7Share a few contributions live and give access to the complete keepsake.

If it is last minute

Reduce production, not sincerity. Ask every teammate for one sentence that begins 'Because of you...' and collect it in a single private place. Read a few aloud or arrange them into one letter.

Original examples

  • We are making a short private farewell for Noor today. Before 2pm, please finish this sentence: 'Because of Noor, I...' One or two sentences is perfect.

Give each task an owner

One person should own contributions. Another can handle the calendar or room. If money is involved, name the buyer and amount. Shared responsibility often means nobody notices the missing piece.

  • Collection and reminders
  • Gift or keepsake
  • Event logistics
  • Short introduction
  • Private review for sensitive details

Protect workplace privacy

Do not copy client names, confidential work, health details, or the private reason for departure into a public board. Use a private collection, review every contribution, and keep invitation links out of open channels when the audience should be limited.

Common questions

Who should organize the farewell?
Choose someone with enough context to build the invite list and enough time to follow through. It does not have to be the manager.
What if the departure is confidential?
Wait for the approved announcement. Never reveal a departure, destination, or reason through the invitation.
